Terms of Service

These Terms of Service ("Terms") form a binding agreement between the academy or business entity that opens a CoursePay account ("Customer", "you") and CoursePay Ltd, a company registered in England and Wales ("CoursePay", "we", "us"). By creating an account, clicking "I agree", or using the service you accept these Terms.

1. The service

CoursePay is a software platform that lets academies create invoices, manage payment plans, take card and bank transfer payments through third-party providers (Stripe, GoCardless, etc.), send reminders, and give students a portal to view and pay balances. We do not hold funds — payment processors settle directly to your bank account.

2. Your account

  • You are responsible for the accuracy of the details you provide during signup.
  • You are responsible for keeping login credentials secure and for all activity on your account.
  • Only individuals who are 18 or older and authorised to bind the academy may open an account.

3. Fees

Subscription and platform fees are shown in the app when you pick or change a plan. Starter accounts also pay a per-transaction platform fee of 2% on collected invoices. Fees are billed weekly to the card on file. You are responsible for any card-network, Stripe, or bank fees charged by third parties.

4. Your data and your students' data

You remain the data controller for information about your students, staff and customers. We act as a data processor. Our handling of personal data is governed by our Privacy Policy and Data Processing Agreement, which are incorporated into these Terms.

5. Acceptable use

You must comply with our Acceptable Use Policy. In summary: no illegal activity, no fraudulent invoicing, no harassment of students, no attempts to breach the security of the platform, and no misuse of our messaging channels for spam.

6. Payment processing by third parties

Card and Direct Debit processing is provided by Stripe, GoCardless, PayPal, Square and other partners you choose to connect. Their terms apply to those services. CoursePay is not a party to those payments and is not liable for their failures beyond providing the integration.

7. Availability

We work hard to keep the service running. Current status and history are published at coursepay.co/status. We do not commit to a specific uptime percentage in these Terms; if a formal SLA is required, please contact us.

8. Suspension and termination

We may suspend or terminate an account for material breach of these Terms, non-payment, fraud, or activity that puts other customers or their students at risk. You may cancel at any time from Settings. On termination you can export your data via the Data & Backups page for 30 days.

9. Liability

To the maximum extent permitted by law, our aggregate liability arising out of or in connection with these Terms is limited to the fees you paid us in the 12 months before the event giving rise to the claim. We are not liable for indirect or consequential loss, loss of profits, or loss of goodwill. Nothing in these Terms limits liability that cannot lawfully be limited (e.g. death or personal injury caused by negligence, fraud).

10. Changes

We may update these Terms from time to time. Material changes require you to re-accept the new version before you can continue using the platform. Non-material changes take effect on posting.

11. Governing law

These Terms are governed by the laws of England and Wales, and disputes are subject to the exclusive jurisdiction of the English courts.
